This guide is for merchants using the Adyen S1F2 terminal in standalone mode — meaning the terminal is not connected to a POS or cash register system. All transactions are initiated directly on the terminal screen.

1. Getting to Know Your Terminal

⚠️ Important — No Manual Settlement Needed: Your terminal does not require an end-of-day close or batch settlement. Adyen handles settlement automatically every business day. You don't need to do anything at the end of the day.

2. First-Time Setup

Charging the Terminal

Before first use, charge the terminal fully using the included USB-C cable. Allow at least 4 hours for a complete charge. The battery icon on the top-right of the screen shows the charge level.

Loading Receipt Paper

The S1F2 uses 57–58 mm wide thermal paper rolls. Use only thermal paper — regular paper will not print.

  1. Locate the paper compartment door on the back of the terminal.

  2. Lift or slide open the paper compartment cover.

  3. Place the paper roll inside so the paper unwinds from the underside of the roll.

  4. Feed the loose end of the paper toward the top edge of the terminal (toward the screen).

  5. Close the compartment cover firmly until it clicks into place.

  6. Tear off any excess paper. The terminal is ready to print.

3. Processing a Sale

  1. On the home screen, tap the Payment button.

  2. Enter the transaction amount using the on-screen keypad (e.g., 25.00 for $25.00).

  3. Tap Confirm.

  4. Hand the terminal to your customer.

  5. The customer pays using one of the following:

    • Contactless / NFC: Tap their card, phone, or smartwatch on the screen.

    • Chip: Insert their card into the chip reader at the bottom.

    • Swipe: Swipe their card through the reader on the side.

  6. The customer follows any on-screen prompts (e.g., entering their PIN).

  7. A green screen means approved. A red screen means declined — ask the customer to try a different card.

  8. The terminal prints a receipt automatically.

4. Processing a Refund

There are two ways to issue a refund. Use a Referenced Refund whenever possible.

Option A — Referenced Refund (Recommended)

Use this when the original transaction was processed on this terminal.

  1. Tap Transactions on the home screen.

  2. Find and tap the original transaction.

  3. Select Refund.

  4. Confirm the refund amount (adjust only if doing a partial refund).

  5. Tap Confirm. A refund receipt will print.

Option B — Unreferenced Refund

Use this only if the original transaction is not available in the terminal history.

  1. Tap Transactions on the home screen.

  2. Tap New Transaction.

  3. When prompted for a PIN, enter: 5773.

  4. Select Refund.

  5. Enter the refund amount and tap Confirm.

  6. Hand the terminal to the customer so they can present the original card.

  7. A refund receipt will print once approved.

ℹ️ Note on Authorization Codes for Refunds: Refund transactions do not generate a traditional authorization code — this is by design across the payment industry. For your records, use the PSP Reference number printed on the refund receipt. This is your official transaction identifier.

5. Voiding a Transaction — Not Available on This Terminal

⚠️ Voids are not available on the Adyen S1F2 in standalone mode.

Here's why: Adyen is configured with immediate capture. This means that as soon as a transaction is authorized, it is captured and submitted for settlement within seconds — there is no window of time in which a void can be performed.

A void is only possible on transactions that have been authorized but not yet captured. Because capture happens automatically and almost instantly on this setup, by the time you would attempt a void the transaction has already been captured and can no longer be reversed that way.

What to do instead: If a transaction was processed in error or a customer needs their money back, you will need to process a Refund (see Section 4). A refund returns the funds to the customer's card after the transaction has captured and will typically appear on their statement within 3–5 business days, depending on their bank.

Situation

What to Do

Transaction processed in error (same day or any time)

Process a Refund — see Section 4

Customer changed their mind immediately after paying

Process a Refund — see Section 4

Wrong amount charged

Process a Refund for the original amount, then run a new sale for the correct amount

6. Reprinting a Receipt

  1. Tap Admin on the home screen.

  2. Select Transactions, then History.

  3. Find and tap the transaction you need.

  4. Select Receipts.

  5. Choose Customer Receipt or Merchant Receipt.

  6. Tap Print.

7. Settlement — Nothing to Do!

You do not need to close a batch or run end-of-day settlement. Adyen handles this automatically.

  • All transactions are captured automatically throughout the day.

  • Adyen batches and settles transactions at the close of each sales day.

  • Funds are paid out Monday–Friday (weekend transactions roll into the next business day).

  • Settlement reports are available via your ValPay partner dashboard.

Just make sure the terminal is charged and connected to Wi-Fi or 4G each day.

8. Troubleshooting Quick Reference

Issue

Solution

Terminal won't turn on

Charge via USB-C for 30+ minutes, then hold power button for 5 seconds.

Receipt not printing

Check paper is loaded correctly — paper must unwind from the underside. Ensure cover is fully closed.

Paper prints blank

Make sure you are using thermal paper (heat-sensitive). Regular paper will not print.

Card not reading

Try tap → chip → swipe in that order. Clean reader if debris is visible.

Transaction declined

Ask customer to try a different card. Do not retry the same card multiple times rapidly.

No Connection message

Check Wi-Fi. Terminal will auto-fall back to 4G if Wi-Fi is unavailable.

Can't find transaction history

Go to Admin > Transactions > History. Searchable by date and amount.

Terminal freezes

Hold power button for 10 seconds to restart. All data is stored in Adyen's cloud — nothing will be lost.
