Welcome to the Valpay Portal! This guide will walk you through everything you need to get started and make the most of the features available to you.
Navigation Overview
On the left-hand sidebar, you'll find all the different tabs available:
Dashboard
Transactions
Deposits
Exports
Statements
Users
Let's explore each of these sections in detail.
Dashboard
The Dashboard provides a helpful overview of your sales activity.
Gross Sales
View your gross sales over the last 10, 20, or 30 days.
Adjust the date range as needed.
Select the specific store you'd like to view if you manage multiple stores.
Sales Summary
Today's Sales: A quick snapshot of sales made today.
Monthly Sales: Total sales for the current month.
Sales by Date
Visual graphs displaying sales trends over selected dates.
Recent Transactions
A list of your most recent transactions for quick reference.
Transactions
Manage and review all your transactions in one place.
Filtering Transactions
Use the filters on the left-hand side to narrow down transactions:
Date
Payment Method
Transaction Type: Sale, Void, Chargeback, or Refund.
Interaction Location: Where the transaction took place.
Recurring Payment: Filter by recurring payments.
Payment Status: Whether the transaction has been paid.
Adjusting View
Columns: Click on the Columns button (top right) to select which data columns you'd like to view.
Add Filters: Apply additional filters for more specific results.
Refresh: Click Refresh to update the list with any new transactions since you opened the page.
Deposits
View and manage your deposit information.
Viewing Deposits
Use the Date Filter on the left-hand side to select your desired date range.
Adjust columns, add filters, and refresh the page similar to the Transactions tab.
Deposit Details
Click on a deposit entry to view all transactions included in that deposit.
Summary Information:
Transaction Count
Gross Amount
Fees
Net Amount
Chargebacks and Refunds: Overview of any chargebacks or refunds within the deposit.
Transaction List: Detailed list of specific transactions making up the deposit.
Exports
Create exportable CSV or Excel files of your transactions or deposits.
Creating an Export
Navigate to the Exports tab.
Click Create (either on the page or in the top right corner).
Select Type: Choose between Transaction or Deposit.
Select Store: Choose the store you wish to export data from.
Date Range: Set the start and end dates for the data.
Click Create.
Downloading Exports
A notification will appear confirming your export is being prepared.
Wait a few minutes and refresh the page.
Once ready, your export file will appear in the list.
Click on the file to download it.
Open the file in Excel or your preferred spreadsheet software for further analysis.
Statements
Access and download your financial statements.
Viewing Statements
Click at the top of the page to select a Store.
Once selected, a list of all available statements will appear.
Click on a statement to download it.
Users
Manage user access to your stores.
Viewing Users
See a list of all users with access to your stores.
Filter Users:
Role: Merchant Admin or Regular User.
Verified Status
User Status
Adjusting User View
Columns: Toggle visibility of data columns (e.g., email addresses).
Add Filters: Apply additional criteria to find specific users.
Refresh: Update the list to include any recent changes.
Creating a New User
Click Create User.
Select Role:
Regular User: Access to Dashboard, Transactions, and Deposits.
Merchant Admin: Full access to all tabs (cannot create other Merchant Admins).
Email Address:
Enter the user's email address.
Confirm the email address.
Select Merchant Account.
Assign Stores:
Choose specific stores from the dropdown.
Or click Select All Stores to grant access to all.
Click Create.
The new user will receive an email invitation with a temporary password (expires shortly).
Prompt them to set up their account promptly.
Managing Existing Users
Edit User: Modify a user's role or store access.
Delete User: Remove a user's access entirely.
Note: If a user doesn't activate their account before the temporary password expires:
Delete their user profile.
Recreate it to send a new invitation email.
Logging Out
To log out of the Valpay Portal, click the Logout button located in the bottom left-hand corner of the interface.
