📋 Verification Guide: Documents Needed for Onboarding

The documents that may be requested to verify a business, its owners and its bank account during onboarding, plus quality requirements and how to fix rejections.

Overview

When a merchant application is submitted, the business and its owners are verified automatically using the details in the application. If something is incomplete, outdated, or can't be matched to public records, additional documents will be requested.

To avoid delays in onboarding and payouts, make sure any documents you upload meet the requirements below.

Document Quality Requirements

  • Clear and legible: high resolution, with no blur or glare.

  • Complete: all four corners of the page or ID are visible, with nothing cropped.

  • Current: IDs must be unexpired. Bank statements and utility bills should usually be dated within the last 3–6 months.

  • Matching: the names and addresses on the documents must exactly match the application, including the legal business name.

Documents That May Be Requested

1. Individuals (owners, signatories and sole proprietors)

  • Photo ID: passport, driver's license or national ID card

  • Live selfie: for real-time identity verification

  • Proof of ID number: for example, a Social Security card or the local equivalent

  • Proof of residential address: a utility bill or bank statement

  • Tax and financial documents: tax ID, and for higher-volume accounts, proof of source of funds or wealth

2. Companies (corporations, LLCs and similar)

  • Registration documents: articles of incorporation or a business license

  • Ownership and signatory proof: documents showing who owns the company and who can sign for it

  • Operating proof: proof of industry, business address, and tax or VAT documents

  • Financial background: proof of source of funds or wealth, if requested

3. Sole Proprietorships

  • Business registration or a DBA ("Doing Business As") certificate

  • Proof of address linking the owner or business name to the operating address

4. Bank Account

  • Bank statement: a recent statement showing the bank's logo, the account holder name, and the full account number or IBAN.

  • Or a bank letter with the same details, if a statement isn't available.

If a Document Is Rejected

You'll see a notification in the portal. The most common reasons are blurry images, cropped edges, or a name mismatch between the document and the application. To fix it:

  1. Check that the legal name on the document matches the legal name on the application exactly.

  2. Upload a different official document, such as a bank letter instead of a statement, that clearly shows the correct details.

  3. If the mismatch is because the business operates under a different legal entity, a new application for that entity may be needed.
