💰 When Do I Get Paid? Sales Day, Cutoff Time & Next Day (T+1) Deposits

How your sales day works, what the daily cutoff time is, what happens to late night transactions, and when your next day (T+1) deposit lands in your bank account.

One of the most common questions we get is "if I take a payment late at night, when do I get paid for it?" This article walks through how your card payments turn into a deposit in your bank account, what the daily cutoff time is, and what you need to do to make it happen (spoiler, nothing, it's all automatic).

⚡ The Short Version

  • Your sales day runs from 12:00 AM to 11:59:59 PM in your local time zone.

  • Every approved transaction in that window is grouped together and settled automatically once the day closes.

  • Those funds are deposited the next business day. This is what's called T+1 or next day funding.

  • You don't need to close a batch or do anything manually.

That's the standard setup for most ValPay merchants. Every business is a little different though, so if your account was set up with a different schedule, see the Your Setup May Be Different section below.

🗓️ What Is a Sales Day?

Your sales day is the window of time we use to group your transactions together before they're settled. Think of it like closing out the register at the end of the night, except it happens on its own.

By default your sales day ends at 11:59:59 PM local time. That's your cutoff time. Anything you process before the cutoff counts toward that day, and anything after it rolls into the next sales day.

What About Late Night Transactions?

If you run a sale at 11:00 PM, it still counts toward that day's sales and it gets paid out the next business day along with everything else from that day. It doesn't get pushed back a day just because it was late.

✋ Do I Need to Close My Batch?

No. If you've used other processors in the past you might be used to closing or settling your batch at the end of the day, but that's not something you need to do with ValPay.

Here's why. Your transactions are typically captured right away when the payment is approved, which means they're immediately marked as ready to settle. Then when your sales day closes, everything is settled automatically. There's no button to press and no end of day report you need to run for your money to move.

🏦 From Settlement to Your Bank Account

Once your sales day closes, here's what happens:

  1. Your sales day closes at 11:59:59 PM and that day's transactions are grouped together.

  2. Settlement happens and the funds are moved into your ValPay balance.

  3. Your deposit is sent to your bank account early the next business day.

  4. Your bank posts it, usually by the afternoon or evening, depending on your bank.

So if you don't see the deposit first thing in the morning, that's normal. Most banks post it later in the day.

Deposits only go out on business days, so Friday, Saturday and Sunday sales all land on Monday. You'll usually see them as separate deposits for each sales day, though some banks show them combined.

📌 Bank holidays: If Monday is a bank holiday, your Friday, Saturday and Sunday sales will be deposited Tuesday instead.

💵 Why Doesn't My Deposit Match My Sales?

Your deposit is your net amount for the sales day, not your gross sales. A few things can be taken out before it's sent:

  • Refunds processed that day

  • Chargebacks, if any were received

  • Processing fees, if your account is billed daily instead of monthly

Here's how a refund flows through settlement and comes out of your next deposit:

If refunds or chargebacks are bigger than your sales for the day you may not get a deposit at all, and future sales will cover the difference first. More on that in Missing a Deposit?

⚙️ Your Setup May Be Different

Everything above is our standard setup, and it's what most merchants have. Some accounts are set up differently to fit how the business runs, for example:

  • A later cutoff time. If your business is open past midnight, like a bar or a 24 hour diner, your sales day may be set to close later so your whole night of sales stays together.

  • Delayed capture. Some businesses authorize a card first and capture the final amount later, like adding a tip or charging when an order ships. In that case the transaction counts toward the sales day it's captured, not the day it was authorized.

  • A different deposit schedule. A small number of accounts are deposited weekly or monthly instead of daily.

If you're not sure how your account is set up, or you think a different cutoff time would work better for your business, reach out to your support team and they can take a look.

⚠️ What Can Delay a Deposit?

  • Weekends and bank holidays

  • Your bank's posting time

  • Refunds or chargebacks bigger than your daily sales

  • An account review or missing documents

  • Outstanding monthly processing fees

  • A bank account change that wasn't updated before the deposit went out

If you changed banks, let your support team know right away so your account can be updated before your next deposit. For a full checklist, see Missing a Deposit?

❓ Quick Answers

I took a payment at 11:00 PM. When do I get paid for it?
The next business day, same as the rest of that day's sales.

Is the cutoff in my time zone?
Yes. Your sales day is based on your local time, so there's no time zone math needed.

Do I need to settle or close out my terminal at night?
No. Settlement happens automatically.

Can my cutoff time be changed?
In many cases yes. Reach out to your support team and let them know what hours your business runs. Changes only apply going forward and won't affect sales days that already closed.

Where can I see which transactions were in a deposit?
Log in to the ValPay Portal and check the Deposits tab, or the Transactions tab filtered by date.
